Patient Registration Module

The BCA CMS Patient Registration Module is a set of software tools which allows providers of healthcare to streamline the process of registering Patients and their Families in their BCA practice management system.  The Patient Registration Module is designed to provide online, real-time and user friendly access for registering Patient demographic, family, guarantor, payer, employment, and basic clinical data in the CMS Patient database.  In addition, the system has extensive online inquiry and reporting capability to help provider organizations maximize their ability to communicate effectively and efficiently with their Patient populations to improve the quality of the care they provide.  The BCA Patient Registration Module maintains a complete set of audit trails of all patient registration activity, including the date, time, user and workstation, as well as a host of other information to insure the quality of the data entered and maintained in the system.  In addition the system provides complete security for all Patient data management activity, insuring that the system remains HIPPA compliant, in terms of protecting patient information access rights.  As a result, the system operates in a highly secured environment that requires password protected access to any of the functions imbedded in the system.  As part of its security systems staff member access can be restricted to the specific functionality authorized by the level of security given them by the clinic security official. In addition, all transactions are date and time stamped with user password and workstation identification attached. 

The BCA CMS Patient Registration Module is supported by an extensive set of database tables, described in detail in the BCA CMS Database Management Module and used by our Customers to establish the rules they, and their providers, work within.  These tables are completely user definable and provide our Customers with the ability to establish and define the organization in which they work.  Most importantly, they provide the means of insuring the quality of the data entered into the Patient Registration Module and provide the alerts necessary to effectively communicate with the patient during the registration process.

The BCA Patient Registration Module is equipped with a full range of online, real-time data entry tools to capture pertinent Patient Information. These tools provide the ability to access patient information alphabetically or numerically, or by medical records, insurance policy, telephone or social security numbers.  In addition, the system provides an efficient and effective method of entering and maintaining Patient name and address, responsible party name and address, family, demographic, insurance coverage, employment, worker compensation, managed care, next of kin and an unlimited number of user defined fields.    The system has the ability to alert staff of Patient financial, clinical or operational needs when the patient arrives, during the registration process or during patient follow-up activity, such as notification of recalls, special programs or AR commitments.  The BCA Patient Registration System has the ability to display for and alert the staff to patients who require recertification, special needs or assistance and those who have outstanding accounts receivable obligations to the Practice before they are seen.  This process insures that critical Patient information remains current in order to insure a high level of customer service, maximum turn-around in cash flow to the practice and a non-disruptive process of providing healthcare to the Clinic’s Patient Population.  The system has an extensive set of tools used to achieve a high level of data quality and reliability, including the ability to scan for duplicate patient records based upon predefined sets of criteria, combine patient records once determinations are made and provide multiple search and display criteria to locate Patient records.   

In addition to the extensive online capabilities of the BCA Patient Registration Module, the system provided the ability to produce a host of other standard management information reports, listings and special forms.  These reporting functions include the ability to produce a number of detailed and summary listings of Patient Information in a variety of sequences and based upon an extensive list of user defined parameters.  The system provides the ability to produce user defined mailing letters, labels and cards based upon a specific Patient population as specified by the users.  This data base can be combined with Patient historical encounter information to produce a seemingly endless number of population management reports using standard BCA or third party report writers.
